Litigation Administrative Assistant

Location: Downtown San Diego, CA
Employment Type: Full-Time (40 hours/week)
Schedule: Monday-Friday, 8:30 AM - 5:00 PM (30-minute lunch)
Salary Range: $70,000 - $95,000 annually (plus benefits and merit-based increases)

Position Overview

We are seeking an experienced Litigation Administrative Assistant to support attorneys and paralegals handling complex commercial and civil litigation matters. This role is integral to the success of our litigation teams and requires a highly organized, detail-oriented professional who thrives in a fast-paced legal environment.

Key Responsibilities

  • Provide comprehensive administrative support to attorneys and paralegals throughout all phases of litigation
  • Maintain attorney calendars, including scheduling court deadlines, depositions, mediations, and client meetings
  • Coordinate travel arrangements and process monthly expense reports
  • Prepare, revise, and finalize legal documents, including correspondence, pleadings, and filings
  • Perform electronic filing (e-filing) in both State and Federal courts
  • Assist with trial preparation and provide support during trial as needed
  • Communicate professionally with clients, courts, and internal team members
  • Conduct conflict checks and assist with opening new client and matter files
  • Maintain and organize electronic document management systems
  • Assist with billing processes, client invoices, and time entry requirements
  • Update and manage contact databases
  • Perform additional clerical and administrative duties as assigned

Qualifications

  • Minimum of 4 years of recent litigation experience in a law firm environment
  • Demonstrated expertise in State and Federal e-filing procedures
  • Strong background in commercial business defense and civil litigation
  • Excellent writing, editing, and communication skills
  • Highly organized with the ability to manage multiple priorities and tight deadlines
  • Proactive, self-motivated, and able to work both independently and collaboratively
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Experience with document management systems, docketing systems, and billing/time entry software preferred

Top Qualifications for Success
